Attaching Receipts and Documents in QuickBooks Online

One of the best things about QuickBooks Online is that it lets you upload attachments and link them to your transactions, customers, and vendors. You can easily become a paper-free office and your CPA will love you at tax time!

You are able to:

  • Attach receipts to expenses or checks. Receipts from restaurants, hardware stores, office supply stores … any receipt at all!
  • Attach contracts, pictures, and drawings to estimates or invoices.
  • Attach bills to bill payments, checks, and expense forms.
  • Attach W-9 to vendors.
  • Attach statements from your financial institutions when set up as a vendor.
  • Attachments can be in the form of PDFs you receive from vendors, or you can scan or snap photos of paper receipts, bills, contracts, etc. Just get them on your computer to get started.

Or, even better, use the QuickBooks mobile app!

  • Open the app on your phone;
  • Tap the “+” at the bottom of the page, and then tap Expense (if you are going to enter all of the details) or Note (if you are going to enter the details later);
  • Tap the camera icon to take a photo;
  • Tap Save.

This wonderful feature allows you and your accountant have instant access to source documents. No more hunting around for receipts come tax time. No more overflowing shoe boxes. Your tax preparer will LOVE this!
