in #productivity8 years ago

There is only so much that one can do within twenty-four hours. If you plan to keep pace with the ever changing or progressive growth in your business and the world as a whole, you need to ramp up your productivity by ensuring that you get more work done within a short time. It is alright and a good strategy to create to-do lists on a daily basis that will help you in getting more done productively, but how do you schedule each of the items you have listed on the list? Which ones are of the utmost importance to you or your assigned task, and how fast can you get it done within a short time frame? Not all tasks are the same quite alright, for some require more time to accomplish than others. How then, do you go about this?
Let us go through the process of preparing your to-do list for maximum productivity:

  1. Make a Plan – As the saying goes, ‘He who fails to plan plans to fail.’ Why should you burden yourself emotionally by creating frustration and stress when you can take just five minutes to make a good plan about how you intend to run your day? When you plan, you can know which tasks are important as well as be able to gauge or measure your level of productivity every day. Each day needs to be planned differently, depending on the type of work you do as well as how fitting it is to your assigned tasks. Once you have a plan or blueprint for the day, you will be able to march forward without any waste of time. You don’t have to start thinking or guessing and deciding on what next to lay your hands on. Doing this will also save you a lot of time in the long run.
  2. Preparing Your To-Do List – Sounds a bit like the first point, right? But it’s different. You need to write a list of the individual task or tasks that you must accomplish before the end of the day. Having or creating a to-do list is not just about writing out the list of tasks you need to complete each day; it’s way more than that. It is about arranging those assignments according to a scale of preference i.e. which of the assignment is the most important and must be completed without delay? After that, what next? Before you know it, by the end of each day, you will heave sighs of relief as each of the tasks that you have completed are ticked off, and you will be filled with a sense of accomplishment. This is why creating a to-list is important. There are various tools or applications out there that you can take advantage of to help you out in your daily activities. Most of the tools are free for usage and only a few come with premium features which require you to pay a small stipend. Most of these applications or tools can be used on your mobile gadgets and, depending on the tool or mobile application that you utilize; you will be able to get more things done even when you are in transit.
  3. Tracking Your Time – Scheduling helps you to track the time you expend on each task or job. You will be able to set a personal deadline for the completion of each assignment, then commit yourself to finishing the work within the stipulated period. Since you know you are working to beat time; you will naturally shy away from distractions and focus more on the job at hand.
  4. Your Output – Although this point depends on the type of job you do, it can also be applied to almost every discipline. You need to discover your best time when you are at your optimum. For instance, some freelance writers write best during the night; that is when their creative juices flow and they write without experiencing any form of writer’s block. The same can be applied if you work behind a desk or hold an office job. Most people are usually at their optimum in the mornings, and some need to be perked up with a cup of tea or coffee, but generally, people are at their best in the mornings. After delegating the most important assignments to the top of the list, make the most of your period of productivity and get right down to it and give it your all before coming up for a breather. If you are a mid-day or night person, then schedule your work accordingly.
  5. Distractions – Since creating plans is important, you need to create a small amount of time for distractions. Each day is fraught with its ups and downs, and no matter how well you planned on carrying out your daily duties, you cannot do away with distractions or unforeseen circumstances that could come up inevitably.
  6. Delegation – Delegating tasks is one of the most significant time-savers in any organizing or unit. Every work that you consider as non-essential should either be struck off the list completely of be assigned to a junior staff or some other person qualified to handle the job without bungling it.
Implementing these scheduling tips in your personal or professional life will go a long way in helping you to be productive in everything you do. Personal discipline is essential if you want to see the results you crave for, therefore do not compromise in any way. Always carry out the tips mentioned above every day until it becomes a habit that will be ingrained in your system and ensure that other members of your team or your co-workers know the importance of implementing these guidelines in their daily routines for maximum productivity.
