Action Item – Whalley/B. Emerson (M/S/C/U) Motion made by Ruby Whalley to approve minutes after a revision to the language in the Robert Rules of Order guideline removing “shall”.
Treasurer’s Report
• Current Savings Balance: $

• Receipts/Updates: The following transactions were made on May 18th, 2011:
- -$ for InfoStructure payment instead of the usual $ because $ was paid last year $ over the yearly fee
- -$ for the annual state report payment
- -$ for a money order
- -$ for delivery confirmation
- -$ for priority mail
- -$ for copies
- +$ refund from the state that Terry Skibby donated to the AHC for a future field trip.
• Other: Update: Debit Card, Second signer to AHC savings account. Bill said that Umpqua Bank gave him forms that needed to be signed by all committee members in order to make changes to the account. These forms should be submitted at the next meeting.
Action Item – B. Emerson/C. Emerson (M/S/C/U) Motion made by Bill Emerson to make Ruby Whalley Vice President of the Ashland Heritage Committee in order to simplify the completion of Umpqua Bank forms. The motion carried unanimously.
Discussion then ensued about finding another bank with a better offer. Each member has been tasked with asking their bank about opening a non-profit money market or savings account with an ATM Debit Card and 2 to 3 free checks per month. Assignments as follows:
a) Ruby: Rogue Federal
b) Terry: Chase / Wells Fargo
c) Bill: US Bank
d) Cyrus: Bank of America
Old Business
• Web site update: membership page – Terry received the PDF of AHC membership card from Cyrus. Discussion occurred about placing pictures from Terry Skibby’s collection on the website along with other historical pictures. It was agreed that copyrights for all pictures must be obeyed.
• Use of Robert’s Rules of Order as guideline, update. Bill presented Bylaws with corrections on page 2 with a new line for the constitution changing shall to should and changing quotes to italics. Also, committee members talked about the wording of Article V for both May 17th and May 18th AHC Constitution drafts. Terry suggested using the sentence from Section III on the May 17th draft with prior revisions mentioned in place of the sentence on Section I of the May 18th draft while keeping the May 18th draft as a whole.
Action Item – B. Emerson/R. Whalley (M/S/C/U) Motion made by Bill Emerson to accept the May 18th draft of the AHC Constitution with sentence revision from the May 17th draft upon affirmation of the final presentation. The motion carried unanimously.
New Business
• Gun Club topic, letter to the city written by Ruby presented to members for discussion. A point was made that the letter is in reference to two structures that the Ashland Heritage Committee wishes to preserve.

- The Spring Pump House
Ruby said that she will use suggestions from the discussion to improve the letter.
