How to Write a Monthly Report
Project managers often oversee multiple projects within a company or organization. A monthly report is a document that project managers should turn in to provide status updates on projects within one week after the end of a month. As a project manager, you should expect your report to be a summary of activities of the previous month, and you might submit additional documents, such as graphs or charts, to depict the progress of your team’s efforts.
Write “Monthly Report” on the top of the page, followed by the name of the project. Include the month and date of the report. Add a brief overview of the project.
Include the names of project members and the number of hours worked over the past month for each employee. Provide a cumulative number of hours from the beginning of the project.
Break down the hours spent by the team, such as "Project Planning: 10 hours" or "Management: 30 hours." Make sure the number of hours specified for each aspect of the project equals the number of employee hours for the month.
Outline what your group did over the course of the past month. Include any applicable personnel updates on the project, such as a team member's resignation from the company or a new hire.
Discuss any issues related to management. Detail things such as a passive client or project employees who missed several days of work. Discuss any management problems experienced and spell out a plan to solve the problem.
Outline the main events of the project, such as what you have accomplished and what strategies the team initiated to continue the project. Discuss the potential risks of the project or complications that your team encountered, such as bugs in a code or another problem.
Review the monthly report for any errors or any issues that you did not fully address. Make any revisions as necessary and submit the monthly report to your employer. Write the deadline for the project at the bottom of the monthly report.
Tips & Warnings
If more than one project manager works on a project simultaneously, each should contribute to writing the monthly report.
Complete the above steps for each project that you organize for your team.
Fact checking is crucial for a monthly report. Avoid making false statements and make sure that the work of each person in your group is accounted for prior to submitting your report.
